Privacy Policy

This Privacy Policy explains how MeetingPartner (“we”, “us”) collects, uses, stores, and shares information when you use the MeetingPartner web application at meetingpartner.io and the MeetingPartner Chrome extension (the “Service”).

1. What the extension does

The MeetingPartner Chrome extension captures audio from the active meeting tab (Google Meet, Zoom, Microsoft Teams, or our test page), sends the audio to our backend for speech-to-text transcription, and provides AI-generated summaries, answers, and minutes for the meeting.

2. Information we collect

  • Account information. Your email address, name, and (if you sign in with Google) your Google profile picture. Provided by you or your OAuth provider at sign-in.
  • Meeting audio. Audio captured from the current browser tab while a recording session is active. Audio is streamed in short chunks to our backend for transcription and is not retained after transcription completes.
  • Transcripts and AI output. Text transcripts produced from your audio, plus any summaries, answers, action items, and meeting minutes you generate. These are stored in your account so you can review them later.
  • Meeting metadata. Meeting title, start and end time, platform (Meet / Zoom / Teams), and the language you selected for transcription and AI output.
  • Usage data. The number of meetings you create per billing period, so we can enforce free-tier limits and bill paid subscriptions.
  • Payment information. If you subscribe, payment is processed by Stripe. We never see or store your card number; we only receive a subscription identifier and status from Stripe.
  • Extension settings. Stored locally by Chrome via chrome.storage.sync: the API base URL you configured and your chosen transcript / AI language. These are not transmitted to us except as part of normal API requests.

3. What we do NOT collect

  • Web browsing history outside of the supported meeting domains.
  • Keystrokes, screen contents, screenshots, or video from your meeting.
  • The contents of other browser tabs.
  • Advertising identifiers. We do not run ads and we do not sell data.

4. How we use your information

We use the information above only to:

  • Transcribe your meeting audio and generate AI summaries, answers, and minutes.
  • Store your meeting history so you can view, export, email, or delete it.
  • Authenticate you and protect your account.
  • Process subscription payments and enforce usage limits.
  • Send you transactional emails you requested (such as meeting summaries you trigger).
  • Diagnose errors and improve reliability of the Service.

We do not sell your data. We do not use your meeting content to train third-party AI models. We do not use your data for advertising.

5. Third parties who process your data

To run the Service we rely on the following processors:

  • Microsoft Azure — hosting, Azure SQL database, Azure OpenAI (chat and speech-to-text), and Azure Communication Services (transactional email).
  • Google — OAuth sign-in (only when you choose “Sign in with Google”).
  • Stripe — subscription billing and payment processing.

Each processor handles data only on our behalf, under their own data-protection commitments.

6. Data retention

  • Audio chunks: processed in transit and discarded after transcription. We do not store raw audio files.
  • Transcripts, summaries, minutes, action items: retained in your account until you delete them or close your account.
  • Account record: retained while your account is active. Deleted within 30 days of account closure, except where law requires longer retention (for example, tax records for paid subscriptions).

7. Your choices and rights

  • View and export any meeting from your dashboard. Exports are available in TXT and Markdown formats.
  • Delete a meeting from the meeting list in your dashboard. Deletion removes the transcript, summary, minutes, and action items associated with that meeting.
  • Delete your account by emailing us at the address below. We will remove your account and all associated meeting data within 30 days.
  • Disable the extension at any time from chrome://extensions. The extension never records audio unless you click “Start” in the in-meeting panel.
  • Microphone permission can be granted or revoked from the extension popup or from your browser’s site settings.

8. Security

All traffic between the extension, our backend, and our processors is encrypted in transit with HTTPS / TLS. Data at rest in our database is encrypted by Azure SQL. Access to production systems is restricted to authorized engineers.

9. Children

The Service is not directed to children under 13. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.

10. Changes to this policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page reflects the latest revision. Material changes will be communicated through the Service or by email when appropriate.
